Post visit email templates

The best time to hear from a venue is the same evening, while the visit is still a memory. These three emails cover the first week after a visit. The review request goes to every guest with the public review link, whatever they thought; private feedback is offered as well, never instead.

What should a post visit email to a guest say?
Thank them by name for the visit, ask one simple question, and give every guest the same public review link, with a private feedback option alongside it, not in place of it. Send it within a few hours. Follow with a come back note a week later only to guests who agreed to marketing.
A starting point. Adapt the wording to your venue and check the marketing rules where you operate before you send it. Replace everything in [square brackets] and delete anything that does not apply.

What to change before you use it

  • Send email 1 only if your local rules allow a service message without marketing consent; otherwise fold its thank you into email 2.
  • In email 2, every guest gets the same public review link. Do not send happy guests to the public link and unhappy ones only to private feedback; that is review gating, and Google’s policies prohibit it.
  • VoqadoWiFi schedules its review email two hours after the guest connects by default, and the delay is adjustable per location.
  • Send email 3 only to guests who ticked the marketing box. Every message needs a working unsubscribe link.
  • Replace [SPECIFIC DETAIL] with something true about the visit. One real detail does more than three adjectives.

Questions

When should the review request go out?
Within a few hours, while the visit is fresh. VoqadoWiFi’s default is two hours after connection, adjustable per location.
Can I only ask happy guests for public reviews?
No. Filtering who sees the public review link by their rating is review gating. Give every guest the public link, and offer private feedback alongside it if you want it.
Do I need consent for the come back email?
Yes. Promotional email should go only to guests who gave separate, unticked by default consent on the WiFi login.
