What the software actually does, and what it does not

Retention software is sold on outcomes nobody can guarantee. Here is the mechanism instead, including the parts that will limit it.

A connection becomes a check-in

Your Omada or UniFi controller sends the member to your portal, and the connection is recorded against their profile with a timestamp. No turnstile, no app, no reception step.

Gaps are measured, not guessed

The system compares last check-in against the window you configure. Cross it, and the member joins the at-risk segment. It is a rule you set, not a black-box score.

The campaign goes out on its own

A scheduler sends the re-engagement email while the member is still on the books, which is the only window where anything can be done about it.

And where the signal breaks

Members who train without joining the WiFi look absent. Dead spots on the floor produce false gaps. A shared household device can blur two records. Worth designing around rather than discovering later.

A worked example, not a measured result

Suppose 600 members, and 30 of them drift past your absence window in a given month. If the re-engagement email brings back 6 of those 30, and a retained member is worth £40 a month for another eight months, that is £1,920 of membership that would otherwise have quietly lapsed.

The drift rate, the recovery rate and the remaining lifetime are assumptions we picked to show the arithmetic, not measurements from anyone's account. Yours will differ, and the recovery rate in particular is the one worth being sceptical about. Use your own.

How does VoqadoWiFi detect when a member is at risk of churning?

It uses WiFi connections as a proxy for attendance. When a member who used to connect several times a week goes quiet for the number of days you set, they fall into an at-risk segment and a re-engagement campaign fires. You choose the threshold. The important caveat is the word proxy: a member who trains without joining the WiFi looks absent to the system, so treat the signal as strong but not authoritative.

Does VoqadoWiFi integrate with gym management software like Mindbody or Glofox?

Not with a purpose-built connector for any of them. The native integration is Mailchimp. Beyond that, outbound webhooks fire on portal and campaign events with an HMAC-SHA256 signature, and Enterprise adds direct API access, so a developer can join VoqadoWiFi attendance data to Mindbody, Glofox or PushPress records. That is integration work on your side rather than a switch you flip, and it is worth budgeting for.

Can VoqadoWiFi send class booking reminders and fill empty spots in classes?

It can send scheduled and triggered emails to segments you define, including members whose connection pattern suggests they usually train at a given time. What it cannot do on its own is read your class roster, VoqadoWiFi has no booking-system integration, so a "spots still available" email would need your booking data pushed in over a webhook or the API first.

What WiFi hardware do I need for my gym?

TP-Link Omada or Ubiquiti UniFi. Those are the two controller platforms VoqadoWiFi supports, and there is no path for anything else. Gym floors are large and often need several access points for coverage, and coverage matters here more than in most venues: a member who cannot get signal in the weights room does not check in, and an uncounted visit reads as absence.

How quickly can I expect to see a reduction in member churn?

We are not going to give you a percentage or a timeline, because we have no measured figure and inventing one would be worse than useless when you are budgeting against it. What changes mechanically is the timing of the intervention: instead of learning a member has gone when the cancellation email arrives, you get a segment of quiet members while they are still on the books. Whether contacting them works depends on your message, your staff and why they drifted in the first place.
