Email Capture and Consent: Getting the Foundations Right

The email address is the asset your whole WiFi marketing programme is built on. Learn which fields to ask for, how to frame consent so it's both compliant and high-converting, and why the value exchange — not the form — determines your capture rate.

The Asset You Are Actually Building

When a guest logs into your WiFi, you are not collecting a form submission — you are opening a relationship. The email address they hand over is the single thread that connects every future campaign, every win-back, every birthday offer back to a real person who physically chose your venue. Treat it accordingly.

That framing matters because it changes how you design the moment of capture. The goal is not to extract as much data as possible. It is to begin a relationship a guest is happy to be in.

Ask for Less Than You Think

Every field you add to your portal form reduces the number of guests who complete it. The pattern is remarkably consistent across venues: each additional field costs roughly 8–12% of your completion rate.

  • Email only. Highest conversion, typically 35–40% on a well-built portal.
  • Email and first name. A small drop, and worth it — first names power personalised campaigns.

  • Name yourself and the value. "I agree to receive occasional emails from The Anchor about offers and events" tells the guest exactly who is writing and why.

No amount of form optimisation matters as much as the guest understanding what they get. People hand over an email readily when the exchange is obvious and fair: free, fast internet in return for a way to stay in touch.

Make that exchange visible. A welcoming headline that names your venue, a one-line promise such as "Free WiFi — just your email to connect", and a fast-loading page do more for your capture rate than any A/B test on button colour.

Why WiFi Emails Beat Every Other List

A WiFi-captured list is fundamentally higher quality than a fishbowl of business cards or a clipboard at the till. Every address was entered by the guest themselves, on their own device, at the moment they used it — which means fewer typos, fewer fake entries, and a verified, deliverable address tied to a real visit.

That quality compounds. Clean lists have better deliverability, which protects your sender reputation, which keeps future campaigns landing in inboxes rather than spam folders.

Progressive Profiling: Patience Pays

You do not need everything on day one. Progressive profiling captures a little more on each visit: email at first login, a birthday month on the second, a preference on the third. Returning guests are recognised automatically and can skip the form entirely while still being tracked.

This approach gathers the same depth of data as a long form — without the upfront friction that kills first-visit conversion. The patient venue ends up with both more contacts and richer profiles.

A Simple Pre-Launch Check

Before you go live, confirm three things on a real device: the form submits with just email and name, the marketing checkbox is unticked by default, and a welcome email actually arrives within a minute. If all three pass, your foundation is sound.
