Prepare a menu-launch email

Coordinate the message, the menu page and the service team before announcing something new.

First, the useful part

Start with the decision.

A menu announcement creates expectations that the venue must be ready to meet. The most useful review is operational: are the items available, are the details current and can a guest find the information promised in the email?

Put it into practice

Three moves to make.

  1. Confirm the details

Have the menu owner approve item names, launch timing and availability. Link to the maintained menu page rather than an outdated attachment.

  2. Choose the story

Explain what is new and why a returning guest might care. Keep the email focused on a few highlights and let the menu page carry the full detail.

  3. Check the destination

Open the link on a phone and follow the intended next step. Ensure the booking or contact route is usable and the team knows when the message will arrive.

An illustrative example

What it could look like.

A seasonal menu email might introduce two dishes and invite guests to explore the full menu. Avoid copying detailed dietary or allergen claims into marketing unless the responsible team has verified them and can keep them current.

Before the next move

The final check.

Save the approved email and the menu version used at launch. If availability changes, update the maintained destination and coordinate any necessary follow-up.

The detail that matters

Do not announce an item that the kitchen cannot reliably serve during the advertised window.

Should the full menu be embedded in the email?

A short introduction with a link to a maintained, mobile-friendly menu is often easier to keep accurate.
