Build a useful hotel local-guide email

A hospitality email brief that helps guests plan a visit without pretending to know their private travel plans.

First, the useful part

Start with the decision.

A local guide earns attention by being practical. Write for the audience information you actually have and avoid assuming that a WiFi login identifies a room, a booking or a travel party. Ask the property team to verify every recommendation before publishing.

Put it into practice

Three moves to make.

  1. Choose a moment

Decide whether the guide is for current visitors or a permissioned audience considering another stay. Use language that matches what you can genuinely know.

  2. Curate a small list

Select a few places or activities with a clear reason for inclusion. Link to their official information for opening times and bookings rather than maintaining fragile details in the email.

  3. Keep the property useful

Include a relevant hotel contact or maintained visitor page. Make commercial relationships clear where they matter to a guest’s decision.

An illustrative example

What it could look like.

A guide could organize suggestions as “a slow morning,” “an afternoon outdoors” and “dinner nearby.” The categories provide value without asserting that the reader is currently staying in a particular room or traveling with children.

Before the next move

The final check.

Check destination links before each send and give the guide a review date. Remove recommendations the property cannot stand behind.

The detail that matters

Do not describe third-party businesses as hotel partners without a real relationship.

Can WiFi data replace hotel booking information?

Do not assume it can. Treat WiFi observations and booking records as separate unless an authorized, verified integration establishes the relationship.
