Welcome better / Note 10

Write WiFi signage guests can use

Make the path from a table sign to a guest network clear, legible and easy to maintain.

First, the useful part

Start with the decision.

A beautiful sign is ineffective if it shows an old network name. Treat signage as part of the live guest journey: give it an owner, a review date and a simple replacement process. The copy below is a starting point, not a claim that a QR code can bypass a portal.

Put it into practice

Three moves to make.

  1. Show the exact network

Print the guest network name as it appears on a phone. Use adequate contrast and avoid placing important instructions over a busy photograph.

  2. Explain the next screen

Tell guests to look for the venue welcome after joining. If you include a QR code, label its destination honestly: instructions, a menu or another public page.

  3. Test the physical sign

Read it from the intended distance and test any code with venue-owned devices. Check table, reception and wall placements separately; reflections and folds can change usability.

An illustrative example

What it could look like.

Copy template: “Make yourself at home. Guest network: [exact name]. Join the network and follow our welcome page. Need a hand? Ask [service point].” Add only instructions that match your tested setup.

Before the next move

The final check.

Have a colleague follow the sign without your explanation. Update the printed version whenever the guest instructions change.

The detail that matters

Do not label a website link as “instant WiFi” if guests still need to join the network.

Where should guest WiFi instructions go?

Place them where guests naturally ask for access. Prioritize a few maintained, readable signs over many inconsistent versions.
