Welcome better / Note 11
Audit every field on your WiFi login
A field-by-field decision sheet for making guest login easier to understand.

Start with the decision.
Every field asks for attention and creates a handling responsibility. Before adding a question, say what the venue will do with the answer. This worksheet is a design review, not a legal determination about what your business may collect.
Three moves to make.
Write the purpose
For each field, state the guest-facing purpose and the operational use. If nobody can explain how the answer will be used, remove it from the proposed design.
Separate necessity
Distinguish information required for the configured login from optional marketing information. Confirm the actual system behavior instead of relying on the visual presence of an asterisk.
Test the error
Try an empty value and an obviously malformed test value. Check whether the message identifies the field and tells the guest how to fix it without erasing other input.
What it could look like.
A proposed birthday field may sound useful, but it needs an actual campaign plan and a clear optional label. If neither exists, launch the simpler form and revisit the field when there is a defined purpose.
Make the idea concrete.
Use these five prompts with your team. The downloadable text worksheet includes the prompts, practical steps and review check. Save it, edit it or print it.
- Field labelRecord your decision and the evidence behind it.
- PurposeRecord your decision and the evidence behind it.
- Required or optionalRecord your decision and the evidence behind it.
- Error wordingRecord your decision and the evidence behind it.
- Keep or remove decisionRecord your decision and the evidence behind it.
The final check.
Count the fields the guest must understand and review each one with the person responsible for the resulting data.
Do not add extra collection simply because the form builder supports it.
Is the shortest possible form always best?
Use the minimum information needed for the specific journey, with clear explanations. A short but ambiguous form can still confuse guests.
