Welcome better / Note 12
Write helpful guest WiFi error messages
Turn an interrupted login into a clear next step with specific, calm interface copy.

Start with the decision.
An error message should describe what the guest can do next. It should not expose internal identifiers or blame the person trying to connect. Build a small message library and test it against the actual failures your form can produce.
Three moves to make.
Name the location
Put field-specific guidance beside the field. For a broader connection failure, use a message near the main action where the guest will look after submitting.
Offer one next step
Explain the correction or retry action in ordinary language. Include a staff help route when repeating the same action is unlikely to help.
Preserve the attempt
Ask your implementer to retain valid input where appropriate and make the message discoverable with a keyboard and assistive technology. Verify the behavior rather than approving copy alone.
What it could look like.
Example field message: “Enter an email address in the format name@example.com.” Example service message: “We could not finish connecting. Try again once, or ask our team for help.” Only use a retry instruction if that behavior is appropriate for the actual failure.
Make the idea concrete.
Use these five prompts with your team. The downloadable text worksheet includes the prompts, practical steps and review check. Save it, edit it or print it.
- Failure conditionRecord your decision and the evidence behind it.
- Message locationRecord your decision and the evidence behind it.
- Guest-facing wordingRecord your decision and the evidence behind it.
- Recovery actionRecord your decision and the evidence behind it.
- Test resultRecord your decision and the evidence behind it.
The final check.
A tester should be able to identify the affected action and recover without learning technical terminology.
Do not show raw server errors or tell guests to disable security protections.
Should an error message apologize?
A brief apology is fine, but the useful part is a clear explanation and a next action that actually works.
