Launch well / Note 04
Plan a guest WiFi change window
A practical schedule for coordinating a guest WiFi update around service, staffing and recovery.

Start with the decision.
A change window is a business decision as well as a technical one. The quietest period is not useful if no authorized operator is available. Choose a time that gives the team enough room to test and restore the previous configuration.
Three moves to make.
Map the dependency
List the guest network and the people who manage it. Ask the network administrator to confirm the intended scope and any shared dependencies before work begins.
Reserve recovery time
Write a latest-start time, a test interval and a restore-by time. Name the person who can stop the work when the remaining time is too short.
Close the loop
After the test, record the result and tell the next shift which guest experience is active. Carry unresolved observations into a dated follow-up rather than a verbal promise.
What it could look like.
Example schedule: owner available at 08:00; test begins after the venue confirms readiness; stop at the agreed cutoff if acceptance is incomplete. Use your own measured test and recovery durations rather than copying this example as a time estimate.
Make the idea concrete.
Use these five prompts with your team. The downloadable text worksheet includes the prompts, practical steps and review check. Save it, edit it or print it.

- Venue contactRecord your decision and the evidence behind it.
- Start and stop timesRecord your decision and the evidence behind it.
- Recovery decision makerRecord your decision and the evidence behind it.
- Result and follow-upRecord your decision and the evidence behind it.
The final check.
The window is complete when the expected guest journey is verified and the venue knows what changed. Deployment completion alone is not the acceptance decision.
Do not schedule a launch on the assumption that a remote administrator will be reachable. Confirm availability beforehand.
Who should approve a guest WiFi change window?
The person accountable for venue operations and the authorized network owner should agree on the scope, timing and stopping conditions.
