Launch well / Note 03

Give every shift a guest WiFi handoff

A front-of-house handoff that makes the WiFi welcome feel as considered as the rest of your service.

First, the useful part

Start with the decision.

Guests usually ask the nearest person for help. That person needs a short answer, a visible network name and a reliable escalation route. A handoff should be usable in a busy room, not buried inside a controller manual.

Put it into practice

Three moves to make.

  1. Write the first answer

Use the exact guest network name and describe the expected welcome. Keep the instruction to one action at a time, then ask the guest whether that step worked.

  2. Give staff a boundary

List the observations staff can collect: device type, approximate time and stage of the problem. Send account, controller and configuration work to the designated technical owner.

  3. Practice the exception

Role-play a welcome that does not appear and a guest who declines marketing. Staff should help both guests without suggesting that a subscription is a condition of hospitality.

An illustrative example

What it could look like.

Sample script: “Choose [guest network]. You should see our welcome page. If it does not appear, tell me which step you reached and I will get help.” Replace the brackets and test the wording at the actual service desk.

Before the next move

The final check.

Ask someone from the next shift to follow the card without coaching. Rewrite any step that needs an explanation from its author.

The detail that matters

Do not put controller credentials, administrator links or guest contact lists on a staff-facing instruction card.

How long should a staff WiFi script be?

Keep the opening answer to a few sentences. Put exceptions and escalation details on a separate short reference that staff can reach quickly.
